| Signing in |
| Sign in | With your Google work account. Only people on the Users list get in; what you see depends on your access level — Customer and Sales see parts and prices, Technicians see documents and projects, Admins see everything. |
| Sign out | Sign out at the top right. On a shared tablet, sign out when you are done. |
| The top bar |
| Machine | The selector at the left switches the model in the viewer. |
| Customer / Technician | Admins can look at the viewer either way. |
| CAD / USD | Shows prices in either currency. The rate is a house rate, not live. |
| My tasks / Tasks | Every stage you are assigned to that is not yet done, grouped by project and item, with its deadline. A planned stage shows Available under it when you can start it, or Unavailable with the stage it is waiting on named under its name. View jumps to it. The number on the button is how many of yours are not done. For admins the button reads Tasks and a Tasks for selector at the top shows anyone's list; it opens on your own each time. |
| Service | For admins, sales, technicians and accountants. Schedule: a calendar of service calls and project deadlines (or a map with a pin per call, in the assigned technician's colour, and the PPA mark at HQ), the upcoming calls, and the completed ones with their reports. Customers: each company, its locations, and at each location the contacts (with a title) and the machines by model and serial / VIN. Admins and sales add and edit; a call's assigned technician opens it and presses Mark completed, which asks for the service report (work performed, parts, findings, hours, follow-up, sign-off) and stamps the completion with the server's time. View report lays it out for reading and Print / Save as PDF. Calls assigned to you appear in your Tasks; a report that asks for follow-up puts a Service to schedule task in front of admins and sales. |
| Accounting | For admins and accountants. Work orders — what is billed to a customer: number, customer, location and machine, the work, lines (description, quantity, unit price), tax and total, status from Open to Paid; a completed service call's report has a Work order button that starts one from its hours and parts. Purchase orders — what is bought from a vendor: number, vendor and their reference, project, expected date, ship-to, lines, status from Draft to Received. Both print on the PPA sheet. Customers is the same database as on the Service page. |
| Viewer / Projects / your name | The three pages. The button with your name is your own page: who you are signed in as, clock in and out with a running timer, hours worked today, this week and this month, time off, a calendar with your deadlines, time off and each day's hours, and your task list. The app remembers which page you were on and reopens there. |
| Admins: other people's pages | A Viewing dropdown at the top of your page shows anyone's hours, time off, calendar and tasks. Tap a day on the calendar to add, change or remove that person's shifts (yours included) — each change is marked as edited by you. |
| Time off | On your page: Request time off, tap the first and last day on the calendar, give a reason, send. The request is recorded as Pending and your mail app opens with it addressed to the people set under Users → Alerts. Admins see requests to review on their own page and approve or deny them; approved and pending days show on your calendar. A pending request can be withdrawn with the ×. |
| Alerts (admins) | At the bottom of Users: tick who is emailed about time-off requests and who is copied on every blocker — named people, everyone with a given access level, and/or the project's manager(s) (each project's managers are set under Edit on the project). Time-off approvers get each request in their Tasks list with Approve / Deny, may add a note, and the person asking is emailed the outcome. |
| Account badge | The round badge with your initials at the far right opens a small menu with who you are signed in as and Sign out. |
| Users | Admins: everyone the app knows — name, email and access level. Restricted means a name only, for putting a contractor on a team without a sign-in. |
| Reload | The circular arrow fetches the latest version of the app and comes back to the page you were on. |
| Light / dark | The sun or moon button switches the theme. |
